Conditions of Hire for Ty Menyn Holiday Cottage

Ty Menyn is let on the following terms and conditions: These terms and conditions are displayed on our website, in our welcome folder and are printed on the reverse side of the booking confirmation form.

Agreement
The agreement for the short term holiday rental shall be made between ‘The owners of Ty Menyn’ and the Client, and will be entered into when the owners of ‘Ty Menyn’ issue the confirmation form, subject to all of the following booking conditions. These booking terms are governed by law and apply to all bookings except where we agree in writing other terms. By making a booking you are deemed to accept these booking terms. If payment for a booking is made by credit/debit card over the telephone, the client is deemed to have read all the booking terms and conditions and agrees to be bound by them. The client will be responsible for all payments and for any damage by his/her party. References to ‘party’ in these terms and conditions will include the client’s family, friends, colleagues or guests. The client agrees to make his/her party aware of these terms and conditions.

Bookings
All bookings are confirmed by a payment of a 50% deposit, the balance to be paid 8 weeks before the arrival date, notification of the date on which the final balance is required will be included on the booking confirmation form. When booking within 8 weeks, the full amount is payable upon booking. No bookings can be accepted by those less than 18 years of age. Amendments to confirmed bookings can only be made with the owner’s prior agreement and are subject to availability and at the owner’s discretion. An administration charge of £22.50 for each alteration may be charged. Bookings can be made well in advance. It is advisable to book early to avoid disappointment, particularly over the school holiday periods.

Prices
Currently there is no Value Added Tax (VAT) chargeable on the quoted tariff. Rates quoted are only for the specific number of guests, nights and dates shown on the booking confirmation form, under no circumstances can the booking period be exceeded or the total number of guests exceed the number stated for the property, unless written permission is obtained from the owners. The owners reserve the right to change the prices at any time and this will not affect any confirmed bookings.

Hire of the Property
Check in time is 3pm. Check out time is 10.30am. If the client has not vacated the property by the agreed time of departure, then the owners reserve the right to add a surcharge of £20 per hour for late departure, in circumstances where it is necessary to prepare the accommodation for the arrival of new guests, the owners may exercise their right of entry to the property. If the client does not arrive by 12 noon on the day following commencement of the booking and the owners have not received notification, the owners shall be entitled to re-let forthwith. If the property is not re-let the Client remains liable for the full hire charge.

Care of the Property
The client shall take all reasonable care of the property and its furniture, fittings and effects in and on the property and leave them in the same state of repair and condition and in the same clean tidy condition at the end of the rental period as at the beginning of the rental. The owners reserve the right to charge the client for any breakages or any extra cleaning required of the property found on or after departure. The owners reserve the right to take a cautionary deposit of £100 per rental against breakages and damages. Use of all amenities, where offered, is entirely at the clients risk and no responsibility can be accepted for loss or damage to the clients belongings, cars or their contents. The maximum occupancy of the accommodation should not be exceeded, if the client or his/her party wishes to hold any function or celebration exceeding this limit, written permission must be obtained by the owners. There is a NO SMOKING policy inside the property.

Pets
Only guide dogs allowed.

Services
Unless otherwise stated in writing, the holiday price will include all charges for services including water, gas, electricity and oil. An initial supply of wood for the multi-fuel stove will be complimentary and further additional wood/coal can be supplied at cost. The client and his/her party must comply with the instructions found in the welcome folder regarding the appropriate use of the multi-fuel stove within’ Ty Menyn’. Any damage caused by using inappropriate fuel will be charged to the client.

Right of Entry
In order to carry out any necessary repairs or maintenance or for purposes of inspection the owners shall be allowed the right to enter the property at all reasonable times and with reasonable notice to the client. In case of emergency immediate access must be granted. Should the client and his/her party engage in unacceptable behaviour that causes a disturbance or nuisance to the local residents or if there is a serious breach of the terms and conditions, the owners of ‘Ty Menyn’ reserve the right to terminate the booking immediately without being liable for any refund or compensation. In these circumstances the owners reserve the right to evict the client and his/her party from ‘Ty Menyn Holiday Cottage’.

Cancellations
Cancellations by the clients for whatever reason should be notified to the owners as soon as possible, by telephone or via the booking information form on our website. Confirmation in writing is also required, addressed to Mr & Mrs Woodward, Ty Menyn, Brynmorfa, Rhosmaen, Llandeilo, Carmarthenshire, SA19 6NP. The client remains liable for the full balance of the accommodation. The deposit is forfeited but the owners will seek to re-let the property for the booking period and if successful will normally refund the monies paid, less administration charge for any additional expenses incurred. In the unlikely event of cancellation by the owners the deposit will be returned in full. The Owner’s liability will be limited to the immediate return in full of all monies paid.

Cancellation Insurance
In view of the above, the owners strongly recommend that clients take out insurance cover to protect against the cancellation penalty

Comments/Complaints
Every reasonable care will be taken to ensure that the accommodation is presented to the client in a high standard. On arrival if the client finds that there is a problem or cause for complaint the client should contact the owners immediately. Reasonable steps will be taken to remedy any problems. Ty Menyn will not normally make refunds in respect of complaints after the Client’s departure from the accommodation if the client did not make the complaint or problem known during the holiday. If the client wishes to comment on his/her stay a comment/suggestion form may be completed. Any complaints should be notified promptly to the Owners and in the case of serious problems confirmed in writing to Mr & Mrs Woodward, Ty Menyn,Brynmorfa, Rhosmaen, Llandeilo, Carmarthenshire, SA19 6NP.
